Set up your first client and project

Time is logged to projects, and projects belong to clients. Create both in a minute.

Every time entry in Quanta belongs to a project, and every project belongs to a client. If you work for yourself, create a client for your own company or one per customer; the structure is the same either way.

Create a project (and a client with it)

Open Projects in the sidebar and click Add Project. A panel slides in from the right with tabs for Details, Pricing, Budget, Tasks and Team.

On Details, give the project a Project Name. A Project Code (for example ACME-01) is optional but shows up in pickers and searches. Pick a Project Color if you like.

Choose a Client, or pick + Add New Client and type a New Client Name to create one on the spot. You can fill in the client's billing address, currency and payment terms later under Clients.

Under Project Type, decide who can log time to it. A Public project is open to anyone in the workspace; a Private project only to its team and to anyone assigned to the client.

On Pricing, choose how the project bills: Hourly at the rates you set, Fixed fee for one agreed amount, or Non-billable for internal work. You can leave the rates for later.

Click Create Project. The project opens and is immediately available in the timer.

The Details tab also has switches for Allow Tags, Allow Expenses and Invoice through Quanta, and the Tasks tab has Enable Tasks. Leave them at their defaults for now; you can revisit them any time, and Project defaults lets you change what new projects start with.

What to name things

  • One client per company you bill. Name it what you would print on an invoice.
  • One project per engagement, retainer or piece of work you want to see on its own line in reports. "Website Redesign" is a project; "Acme" is a client.
  • Tasks are optional subdivisions of a project ("Design", "Development", "Meetings"). Turn them on when you want hours broken down that finely, or when different tasks bill at different rates.
